Due to company Growth my client a well established company based in the heart of Cardiff is looking to appoint a Section Administrator
Brief outline of requirement
An administrator is required to work within the Road Transport Unit to assist with the production of weekly paperwork, maintain records and also keep tracks on the invoice process as Road Transport invoices move around the business for approval and payment.
Outline of key tasks
• General section administrative support
• Assist members of the team with specifying and typing up of all finalised bus and taxi diagrams/taxis
• Production and distribution of internal communications and briefings regarding replacement services
• Production and distribution of weekly diagram packs including maps, driver briefing sheets and vehicle signage. Will include printing, photocopying, folding and occasionally laminating. All documents will need collating into weekly ‘operator packs'.
• Posting/uploading of weekly documents onto the Road Transport Unit Extra/Intranet sites
• Invoice reconciliations and checking.
• Tracking of supplier invoices when passed to TOC for payment to ensure contractual payment terms are met and any queries can be dealt with
• Monitor TOC's booking systems to flag up any assisted travel (DDA) bookings which conflict with alternative road transport arrangements.
• Maintain records and data of all engineering work job, including bus requisitions and budgetary status
• Maintain supplier detail database and the operator and job record files, including processing all updated information and liaison with other departments (e.g. finance department for an operators change of bank details)
Key skills/Person specification
• Good communication skills
• Basic IT skills with a good understanding of e-mail and the use of the internet
• An organised and motivated person with a ‘can do' attitude who could cope with undertaking a variety of tasks on a ‘little and often' basis
• General administration skills in the areas of filing and file management
• Desk Top Publishing skills would be advantageous but not essential
In return my client has on offer a salary range of £16,000 - £19,000 dependant on skills and experience.
